The Two Sides of Rodeo Producer
Rodeo Producer serves both sides of your organization, the member side and the admin side.
Member Side
Your members get everything they need in one place—starting with easy sign-up or renewal and convenient online payments. The full rodeo schedule is just a tap away, complete with dates, times, locations, event details, entry fees, and contact info. Members also get access to their own personal portal where they can view performance history, manage payments, update personal information, and more.
Admin Side
All the behind-the-scenes work your members don’t see happens here. This password-protected Admin section is for your team only—with access for as many admins as you need, from full-access super-users to limited roles like score entry. It includes all the tools, settings, and reports you need to streamline rodeo and season management from start to finish.
End-to-End Rodeo Management
Rodeo Producer (RP) is built to run entirely in your web browser—100% online, with no downloads or installations needed. There are no apps to manage, no versions to update, and no compatibility issues to worry about. You can access and manage everything from any device with an internet connection. We handle the technology on our end so you can focus on what matters: your rodeos and your members.

Focus on What's Important
Rodeo Producer is designed to save you time and simplify the management of your rodeo organization. It's more accurate, more efficient, and highly automated. Enter data once—it’s stored securely in the system and automatically available wherever it's needed. No more duplicating entries or jumping between systems. Focus on what really matters—running your rodeos—not on repetitive data entry.
Managing your Seasons
Rodeo Producer is built around your season schedule—whether that’s January to December, August to May, or anything in between. You define the season’s start and end dates, and each rodeo you add becomes part of that schedule. Include details like dates, performances, events, and purses, and everything is automatically displayed on your website for contestants and fans.
Smart settings control when key features appear. The Rodeo Entry link, for example, only becomes visible when it's time for members to enter, making the process smooth and intuitive. You set the rules, manage the details, and your rodeo is up and running in no time.

Rodeo Formats
We have added a wide array of selectable rodeo formats to the Rodeo Producer:
- * Standard
- * Long Go / Short Go
- * Long Go / Short Go Plus Average
- * 2 Go
- * 2 Go Plus Average
- * 2 Go Low Score / Time
- * 3 Go
- * 3 Go Plus Average
- * 4 Go
- * 4 Go Plus Average
Every rodeo format is fully supported throughout the entire Rodeo Producer system. From start to finish, all management tools— including the Draw Engine, stock draws, re-ride assignments, manual adjustments, judges’ cards, draw displays, results entry, payout calculations, receipts, cheques, and season standings—are guided by your specific format settings. The system adapts to your rodeo structure, ensuring consistency and accuracy at every step.
The Member Database
Rodeo Producer includes a powerful, full-featured member database. New members can register seamlessly, and if your organization charges membership fees, payments can be collected online. Whether it’s initial sign-ups or annual renewals, RP handles it all. Your rodeo admin team has complete control over the database—you can add, edit, update member information, and even reset passwords as needed.
Members can login in and view:
* Rodeos and events they have entered and completed
* Winnings
* Outstanding fines
* Rodeo entry payments outstanding

We can clear your test rodeos and retain your configurations, so you’re ready to launch without starting from scratch.
Online Entry
Online Entry is one of the most powerful features of Rodeo Producer. The system runs a series of automatic checks during the entry process, verifying valid member numbers, ensuring all membership fees are current, and flagging any outstanding fines. These built-in quality checks help prevent data entry errors, duplicate entries, and non-qualified contestants. Contestants can also group together with buddies or roping partners, and the system keeps these groups together when generating the draw. Entries can be paid immediately through our integrated payment platform, or members have the option to complete payment later.

Draw Engine
We could bore you with complicated math equations and detailed explanations of how the Draw Engine handles entry group priorities, performance preferences, event limits, stock assignments, and more — all with just a click of a button. But honestly, we'd be bored too. It's not exactly thrilling stuff.
What you really need to know is this: the Draw Engine fairly prioritizes and randomizes contestant placement, doing its best to put everyone in their first or second choice. You can also let the Draw Engine assign stock to contestants automatically as part of the process.
Stock draws can be fully automatic, semi-automatic, or manual — it's up to you. You'll find more details in the section below.
Fixing the Draw
When stuff happens during the rodeo, or pre-rodeo (you know the reasons) and you need to make changes to the draw, Admin controls allow the Rodeo Admin to make manual adjustments to any part of the draw.
You can move an entrant from the Saturday performance to the Sunday performance.
You can move an entrant in an event from first up in the run order for the 2nd Go to 2nd last.
You can move a contestant to a different spot in the order, change stock assignments, change team partners, add a late entrant.
All these changes can be done without re-running the Draw Engine and changing everything else. You just manage the changes. You are not forced to change every draw in every event.

Stock Draw Options
Automatic
Let Rodeo Producer handle it all. Using the stock and contractor settings you've configured, RP automatically generates a random stock assignment — including re-ride stock. If the stock list changes, Rodeo Administrators can easily adjust assignments as needed. With just one click, the system creates the full contestant draw and assigns stock automatically, saving you time and effort.
Manual
Some associations still do stock draws the old-fashioned way — pulling names out of a hat at the rodeo. Rodeo Producer makes it easy to match those manual assignments to contestants using a simple dropdown tool, so you can quickly enter the results and make them visible in the draw for everyone to see.
Push Button
A blend of automatic and manual. With the Push Button option, the stock contractor provides a list for each stock type. The rodeo admin first runs the contestant draw, then updates the rodeo with the supplied stock list, and finally runs the stock draw. Both the Automatic and Push Button options use the same logic to ensure random, fair stock assignments.
Your Rodeo Day, Effective and Efficient
With a thousand things happening on rodeo day, it's a relief knowing Rodeo Producer has you covered. Announcer sheets, judge’s cards, and results entry are quick and easy. Just enter the scoring or timing data — RP automatically applies the formulas, calculates placings and payouts, and you’re done. You control when the results go live for public viewing.
Many organizations use electronic eye timer systems for timed events like barrel racing and pole bending. With Rodeo Producer, connecting your timer is simple — just plug the interface cable into any available laptop port (usually a USB) and it acts like a keyboard input. Click into the field where you want the time recorded, and when the timer sends the data, it automatically fills in the input field.

Better Member Service
With a couple clicks of your mouse, generate and print receipt for your rodeo entrants. Print them out or email them.
Print payout checks for your winners at the rodeo.
RP gives you a report to preview of all the winners by event and a consolidated list of winnings by contestant. Preview and then load your printer with your check blanks.
Hand your winners a check before they get out the door and save yourself the hassle of envelopes and stamps when it can all be handled on-site.
The Reports
Pre-built reports including lists of rodeo entrants, participants, fees, and more. Here is a list of the most used reports:
- * Rodeo Participant List Report
- * Rodeo Fees Report
- * Vet/Med Out Report
- * Member Fines Report
We have recently added two new reporting capabilities:
- * Rodeo Revenue / Expense Tracking
- * Volunteer Scheduling

Beyond the Basics, Customization
There’s no one-size-fits-all software for the rodeo world — and we understand that. Every rodeo association operates with its own unique set of rules for payouts, finals qualifications, “All Around” standings, and more. That’s why Rodeo Producer is built with a wide range of flexible settings to fit a variety of management styles.
We’re proud of everything the Rodeo Producer system can do out of the box. But we also know that sometimes you need more.
If you have something unique about how you run your rodeos, we’re ready to support it. Tell us what you need — whether it’s a new report or a custom feature — and we’ll not only build it, we’ll make it available to all our customers automatically.
Rodeo Producer isn't just a system; it’s a platform that grows with you. Every season brings new features and enhancements, and that constant evolution is one of our greatest strengths.
