Hello and welcome to our chapter on Members > Setting Fines, managing fines. From the main menu, choose Members > Set Fines.

Rodeo Producer - Members - Set Fines - Select

This is where you can set, manage, and mark fines as paid and that sort of thing. So we have a couple of examples in here. Now one thing to know is that there's essentially two types of fines that you can apply to a membership. There's what we call rodeo fines and then there's one-time fees. They are managed in a similar way but they have slightly different impact on the member. If a member has been assessed a fine they must pay that fine before they can enter another rodeo. If it is a fee it'll be marked under fee only, then it is an amount that they owe to the association but it will not prohibit them from entering another rodeo. We have a couple of examples here.

We have somebody who has has a fine and it is marked as paid. So that one is taken care of. We have another fine and it is not marked as paid. So, for those that are paid, it will show the date that that has been paid. For a fine that has not yet been paid, you can click the Send Reminder button to send them a reminder. It will bring up your email client with a message, a reminder, and a link where this member can go and pay this fine online. I have it marked as paid.

If we want to assign a fine uh or a fee to a member, uh we'll click on on the Assign a Fine to Member button here.

We would select the member. If it is specific to a rodeo, we would select that rodeo. We would put in a description or whatever the fine is is based on. Let's put this one in at $45. It is being posted today. Now, if this is a fee only, this will not prevent rodeo entry, we would click this on. If not, we would leave it off and then we would submit the fine. This will send an email to this member letting them know that there has been a fine added to their account, the description of the reason for the fine, and the amount. It will send them that link.

If we want to edit a fine here, we're going to edit this one.

We're going to set it to a fee only. We will edit. We will click on uh fee only and submit the changes.

Rodeo Producer - Members - Set Fines - Set as Fee

This has now been changed to show as fee only. This will send an update to the member and they can click the link and go to pay it. All of these fines are also available to the member via their member profile and they can click the link and pay from there.

This information as well on any outstanding fines or fees shows up in the main member list.

So as we scroll down here we see uh here we see the fine. Here we see an outstanding fine and here we see a fee. If the member happened to uh pay this by check or pay this by cash at the rodeo, we can click the fee. This will take us to where we can manage this. So we can go into this account. We can go into this particular fee. Mark it as paid. Mark the date paid. Mark the date paid. And submit the changes.
