In this chapter, we're going to show you how to print out receipts for your members. We go to printouts, receipts.
We select the rodeo to work with. We'll choose the March rodeo, and it will generate us some options.
We can choose to just print out receipts for individual performances or if we leave the option radio buttons unselected RP will issue receipts for all of the performances. You may wish to choose this option if you want to batch your receipts into members who competed perhaps on a Saturday in performance one versus Sunday in performance two. We'll leave this unselected for now.
You'll see here there are ranges of bulk receipts to print. If we generate too many receipts at a time, it can really slow down the system and it may lead to your computer having some problems with the amount of memory. So, we have set RP to print out bulk receipts in quantities of 25 at a time.
Below the options, you'll see a list of the competitors in this rodeo, and it will show their name, their member number, and the events that they were entered into, the fees that they owed, as well as any fees that have been paid. This is just a quick reference for you. All of this detail will be included on the receipts. We only have a short list of entrants in our demo rodeo here. We can use bulk receipts 1 through 25. You'll notice there's a number down the left side of the table. You'll be able to quickly identify which batch of bulk receipts you want to print. If we have other ranges we simply choose the selection before we hit submit. We'll go with bulk receipts 1 through 25 and we'll hit the submit button and this will generate a preview of the the PDF.
Here's an example of that first member on the list and some of the detail.
To actually generate the PDF, we click the green Generate PDF button and then we can click on the PDF itself in the top right or open this file from our Downloads folder later.
What we see here is all the detail for this receipt. The member number, member name, any members in their buddy group, name of the rodeo, the dates of the rodeo, all of the fees, fee descriptions. If you happen to use the receipts total only option, it won't show quite as much detail as we see here. We see all of the fees here and a total amount owing. In this case, the organization also includes the waiver and requests that there's a signature for the waiver for their members. That is something that you can choose to include or not include. We'll scroll down to another one of these members where payment has been made.
Here's an example of another member and they have the list of fees itemized by each fee and some payments that have been made, payment amounts, and they still have an amount owing. This could be a manual way to keep track of payments at the gate. Of course, you can also do this through the Rodeo Setup > Set Payments online functionality which is included in RP and save some duplication of effort by recording the payments electronically.
Getting back to the PDF, we'll scroll down here to a member that has completely paid. For this member we see their list of fees, the payment made and now they have a balance owing of zero.
To print the receipts, make your selection of print range then simply use the print button of your browser to generate a print out. Make sure your printer is loaded with paper and crank these out so they're available for your members at the rodeo.
If what you require is to only print a single receipt, you can click on the member's name, it will bring up a preview, hit the green Generate PDF button, click on the PDF file for one member only, and you can choose to print that.
