In this chapter, we are going to talk about Adjusting Draws. We will go to Rodeo Setup > Adjust Draws.

This is a pretty powerful tool. We will pick a rodeo here to to work within. And there are a number of different features and functions in here. We will start off with some of the basics. We'll select an event and then we're going to scroll down here to the entries in the event.

And because this is a demo, uh it's barrel racing, we only have a few entries, but that's okay for the demo purposes. We have a number of operations we can do here.

As you can see in the table we have the names of the members, their membership number, their performance preferences. This is after we have already ran the placement draw. So everybody here should be in a performance and should have a run order set. If they are in an entry group, we can see the entire entry group member numbers here. What we're looking for here is which performance they've been drawn into and what is their run order in that performance. We can easily swap a couple people around. We'll move the entrant first in the run order to second and the entrant second to first and then we will submit the changes.

As we scroll down we see second is now first and first is now second. So that's how easy it is to switch them.

We can switch entrants from the first or the second performance into the other. If we want to move that person to the first performance we can simply change their performance. We'll move them to third in the run order and submit that change. We will move the other entrant as well and now we have everybody in the same performance.

If your organization uses Barrel Rep assignments and/or Barrel Duties, you can you can turn those on here. The default is is blank or no. We have the first entrant set to Barrel Rep here. We will change to the third entrant in the run order and Submit the changes and we now see that that is is set for this person.

This is a a timed event, a non-stock event. Let's have a look at an event which does have stock assignment.
So we know we have stock assigned in bull riding and we see we have a number of entrants in this event in different performances that they've been assigned to. We have their run order and what's different about this event is we see the stock assignments. These were generated by the stock draw and within a performance it will be a separate animal. When we look into performance number two, which in most cases is the following day, we see a couple of the stock assignments are the same animal as performance one and that's fine for for stock assignments. We can change these stock assignments as needed. So let's change the assignment for the entrant second in the run order for performance two and this will bring up the list of stock that is available from the stock contractor as we had set in Set Stock for Draw and these are stock animals that have not been set as the re-ride. We'll select a different animal.

We'll hit save and now we see we've we've changed the stock.

We've seen now that we can manage performance assignments, we can manage run orders, we can manage barrel rep or barrel duties, and we can change stock assignments. This is mostly uh what you will do here as you use this tool after you have generated draws. In a rodeo, things can change, you may have some late entries. If you have late entries, after they have been added as an entry, you can go into here and you can assign them to performances and put them in the run order. That way you can avoid having to mass regenerate the draw for all of your events, which would switch everybody around randomly. This tool allows you to put them into a position in the draw as needed. When you do need to add a new entrant, you can click the Add New Entrant button and it will take you to the form in Set Entrants to add a new entry.

From time to time other changes are necessary as well and you will want to keep them isolated to just one event, not all the events in the rodeo. One of the options here is you can select to shuffle the run order for this event. You can do this for all of your performances for this event or for a specific performance. So let's do it for performance one, select Shuffle Perf 1 and then Submit. We take a look and uh these two have switched places. Our entrants in Performance one have now have switched places and those entrants in Performance two remain the same.


We we did shuffle the run order for Performance one. You can shuffle it for all performances. You can do something called close gaps. If you have a long list of entrants and you've changed a whole bunch of run orders and you don't know if you've filled all the spots, if you hit the close gaps button, it will fix that. So, let's just try that. Let's move some entrants out of sequence in Performance one to run orders 1, 4 and 7.

We hit the close gaps and it is going to take that entrant that was in fourth and shift them up to second and the entrant who was in seventh and shift them the third. It's going to close the gaps in the run order.

Within our page of tools, within this big tool, we have another tool here called a Standings Draw. Some organizations will want to generate their draw in their events based on the season standings. This tool will take the season standings (you can select to run it from last place to first place or first place to last place) and when you hit submit, it will redo this draw within the performances to place the run order based on season standings.

Down below the table to another one of the tools within adjusting draws is to move all non assigned entrance. If your organization does draw out entrants from the rodeo draw such as if you have 10 entrants and you have set a limit of five entries in this event, then RP is probably going to draw out five entrants, you're going to have five entrants that did not make it into a performance. This tool here will take everybody that was not assigned a performance and move them to a performance that you choose. We might move them all to Performance number two.

We have a choice of randomize the unassigned only. RP will preserve the run order of entrants that were assigned here and randomize anybody that is being reassigned here beginning with the next run order positions . You can select to randomize them all, moving unassigned entrants into performance 2 and re-randomize all of performance 2 including the new assignees. This is also a way you can take all of your unassigned entrants and move them into a Slack performance. You would simply uh select that Slack performance from the from the drop- down list and choose whether you want to randomize all. Because we'd be moving everybody, then we would probably randomize all.

Something else we can do here is we can choose to move all entries to the same performance.

For example we have five total entries here. We have three in Performance 1 and two of them in Performance two. Maybe the stock contractor, for whatever reason, wishes to have everybody moved into performance one so that they can only bring stock animals for this event on day one and they don't have to have their animals there on day two. So we can do that.

We can select move everybody to Performance one and this will move everybody into Performance one.

Now it has only changed the competitor draw assignments. You may need to run Close Gaps and RP will not change the stock assignments. Because we had the stock animals Whiplash and CHILLY PEPPER in both Performance one and Performance two, we will actually need to make some manual change. So we'll change this stock assignment so that we're not doubling up on the stock assignments and submit that. Then also run Close Gaps.

With this page full of adjustment tools, we've been able to adjust competitors, we've been able to adjust stock, we've been able to set barrel rep or barrel duties, we can change performances, we can change orders, we can add new entrance if necessary. We can then assign those entrance to positions in the draw. This is a very powerful tool, a very powerful feature area really where you can make a whole host of changes. We know that changes happen. We know that you need to have the ability to manage the changes. The changes are made event by event. So that's why we built this area where you can make all these changes to draw assignments. Again, this is a tool that is typically used after you have generated draws for the placement draw for the competitors and the stock draw. Prior to generating draws, when you're adjusting entries, you would usually use Set Entries. Now that we've made all of our adjustments, we can go and Preview the Draw, to display all of those changes that we've made. Once you've made all of your changes, you've made all of your adjustments, that's when you would then go to Rodeo Setup - Set Rodeos and set this rodeo to show the draw on the public side.
